JOB OPPORTUNITY.

Position: Operations Administrator.

Reports to: Country Head of Security Operations (HSO), with a dotted line to Africa Ops Admin.

Direct Reports: N/A

Location: Primarily Kigali, Rwanda – with field Travels when necessary

Externally: Main cooperation with the Head of Security Operations, Service Line Heads, Staffing Officers, Timesheet/Rostering Clerks, Finance, HR, Africa Operations Support Manager, Africa Operations and Legal Assistant.

Key Responsibilities:

  • Collate Ops Manager Client Visit Form Data, transfer into monthly Corrective Action Plans
  • Collate Supervisor Visual Aids and incorporate into presentable reports on Excel
  • Assist in the administration and compilation of country and service line KPIs
  • Oversee and administer Ops SharePoint File Plan
  • Oversee the Risk Assessment tracker.
  • Support the Head of Security Operations with all administrative tasks – presentations, trackers, chasing of returns, CRM closures.
  • Ensure all legal requirements such as vehicle licences and certificates for Ops personnel remain up to date.
  • Liaise with HR to ensure compliance on SO files and discipline.
  • Addressing branches and projects manpower requirements,
  • Tracking and reporting on operations Key Performance Indicators,
  • Operational support to various business units, branches and projects,
  • Collation and reporting of weekly/fortnightly/monthly reports, including Labour Scorecard, OSCA, KPIs, etc.
  • Management of operations admin functions including internal requisitions, leave management, report generation, documentation, and support,
  • Oversee CRM complaints and provide HSO with a weekly report on items not closed; then monitor closure in conjunction with Field Coordinator(s), HOG and customer service for report to HSO.

KNOWLEDGE, SKILLS AND ABILITIES

The following knowledge, skills and abilities may be acquired through a combination of formal schooling, self-education, prior experience or on-the-job training.

  • Minimum three (3) years’ Security service experience in Operations, Staffing, Finance, Customer Service, or HR
  • Bachelor’s degree in business administration, Information Technology or any other relevant field.
  • Technical understanding of commercial security.
  • Experience in delivering data-driven recommendations to management in a fast-paced and demanding environment.
  • Highly competent with IT and Microsoft office applications.
  • An understanding of the defence and security sector.
  • Excellent organizational skills.
  • Good communication skills. Ability to speak/write in Kinyarwanda, English, and French would be an added advantage.
  • Ability to work under pressure.
